Terms of Use

The costumer acknowledges the following terms and conditions upon which Ultimate Sports Travel and Tours has provided goods and/or services in accordance with the tour or travel arrangements of the customer.

1. Ultimate Sports Travel and Tours shall bear no responsibility for any acts or exclusion s by any supplier of goods and services such as hotels, motor coach, event tickets, or other entity providing services to the customer. The customer hereby relinquishes any claim for personal injury, including death, property damage, including loss of or damage to luggage or other personal property, or any other loss or claim, due in whole or in part to any act or omission of any entity, its agents, servants or employees, not solely, exclusively, and directly under the control of Ultimate Sports Travel and Tours.

2. The customer also acknowledges that the price quoted for any tour package or travel arrangements is based upon prices provided for accommodations, transportation, tickets and any additional travel components. In the event that any prices for such travel components are increased, Ultimate Sports Travel and Tours reserves the right and the customer acknowledges the right of Ultimate Sports Travel and Tours to increase the tour package and travel arrangement price in the amount of any such increase in price.

a. Any customer given notice of increased cost shall have the right to terminate the reservation on the confirmed program and obtain a full refund of all amounts paid to Ultimate Sports Travel and Tours unless such a payment was expressly made on a non- refundable basis. Ultimate Sports Travel and Tours cannot take responsibility if a client had booked a non- refundable airfare.

b. The acceptance of any invoices, tickets, vouchers, or other documentation of a travel package or tour arrangements shall be deemed to be acceptance of the above General Information, Terms and Conditions by the customer.

3. The customer herby recognizes that tour itineraries, accommodations, travel arrangements, as well as other aspects of a tour package may at times be modified or cancelled due to acts of God, unavailability of accommodations or other causes beyond the control of Ultimate Sports Travel and Tours. In such situations Ultimate Sports Travel and Tours reserves the right, and the customer acknowledges the right of Ultimate Sports Travel and Tours to modify or cancel any tour, tour package or travel itinerary due to an act of God, unavailability of accommodations or other necessary component of the itinerary, or any other cause beyond the reasonable control of Ultimate Sports Travel and Tours.

4. The customer acknowledges, and hereby gives Ultimate Sports Travel and Tours’ rights to use any photographers for promotional material. Otherwise Ultimate Sports Travel and Tours must receive written notification of the customer’s declination.

5. The customer agrees to mediate any and all disputes with or concerning Ultimate Sports Travel and Tours only in the State of New York. The customer herein waves his/her right to trail by jury or any other means.

Sports Travel Packages Deposit/ Balance

For any and all sports travel packages listed, once a quote is received and accepted, you will be sent an invoice requiring a 50% deposit. Payment acknowledges your acceptance of all term and conditions. Customer will be responsible for balance with any remaining payments due 90 days prior to commencement of travel.

Customized Independent Travel Programs Deposit/Balance

All customized travel packages are non- refundable. Payment in full is required upon booking. We recommend purchasing travel insurance to protect against any unforeseen obstacles.

Cancellation of Major Sports Events, Customized Independent Travel Programs

All payments are non- refundable at the time of booking. No refunds will be given for unused portions of a program. In the event of a cancellation or postponement, Ultimate Sports Tours and Travels shall not be responsible for accommodations and transportation prior to and beyond the original scheduled date of the event. Third party optional insurance is available for coverage upon request and suggested.

Hotel and Other Accommodations

Our travel programs offer various luxury, moderate, and standard accommodations. The deluxe hotels are four and five star names such as Westin, Marriott, Hyatt, and Sheraton. The moderate option features hotels such as Holiday Inn, Best Western and Clarion, while standard hotels are similar to Days Inn or Comfort Inn properties. In select cities clients can enjoy all the comforts and privacy of home, by reserving a stay in a private home and condominium.

To allow for maid-service most hotels expect departing guests to vacate rooms by 12:00 p.m. so arriving guests may begin to check in after 3:00 p.m. If you have an early arrival or late departure, the bellman will assist in storing your bags until check-in time or your departure.

Special Requests: Requests for rollaway beds, connecting/adjoining rooms, and smoking/ non- smoking preferences, as well as any requests noted are considered Special Requests. These requests are not guaranteed and will be honored pending availability at check in. Ultimate Sports Travel and Tours cannot be held responsible for Special Requests not being available; however, we will without a doubt put forth our best efforts to accommodate you with all of our suppliers. In some major U.S. cities like New York City as well as many other metropolitan cities, fire laws prevent hotels providing guest with rollaway beds and have a maximum adult capacity.

Extended Stays: If you wish to extend your stay by arriving earlier and/or staying later than your itinerary states, we will help you secure the lowest available room rate. These room reservations must be booked through Ultimate Sports Travel and Tours, are based upon availability, and will be added to the total cost of your package. Rates listed include hotel taxes.

Non- Smoking Rooms: Hotels now have a “No Tolerance” policy for someone smoking in a non smoking room. This policy carries with it a financial penalty for any violation. Please make a note of and be aware that you will be accountable for any such penalties, in the event that they might occur.

Tickets

Ticket Upgrade: Unless noted the option to upgrade your tickets is available for every event. The option to upgrade your tickets will give you the ability to improve the location of your seats. Contact us for more details and prices.

Ultimate Sports Travel and Tours will not be held responsible for any lost, stolen or damaged tickets. All sporting events tickets will be issued along with final documentation packages, which will be insured and will require a signature upon arrival. Unless noted all tickets are distributed in pairs. Seat location, rows and seat numbers will not be available to you until tickets are delivered. This also applies to single and odd number reservations. Odd number ticket request cannot be guaranteed to be located concurrently.

If you decide to upgrade your tickets from your original seats, it is highly recommended that you purchase travel insurance available through our preferred third party supplier. We advise this due to the fact that upgraded tickets are non refundable. If you have any questions concerning ticket upgrades or travel insurance please contact us and let one of our experienced travel coordinators assist you.

Event Rain Outs: If an event is rained out, cancelled or postponed beyond our control, ticket(s) will be applicable for the rescheduled dates. Ultimate Sports Travel and Tours is not responsible for modifying travel arrangements. Ultimate Sports Travel and Tours will provide refunds only to the extent that refunds are available. This policy does not apply to the Ticket Upgrade.

Transportation

Car Rentals: Items such as tax, airport fees, insurance, gasoline, upgrades from your reserved car type, additional drivers, or additional equipment are NOT included. Your credit card will be charged by the rental company upon return.
Canada: When traveling to and from Canada, U.S. citizens must have a current passport. Those traveling from other countries must present a valid passport and other documents as needed (visas or alien cards).

Making Changes

We are happy to accommodate any changes to your trip whenever possible. All changes are based on availability. At the time the change is made, a $25 administrative fee will be required to update the reservation.

Tour Hosts

Hosted trips are led by our experienced tour hosts, who are valuable members of our team. They will be on-site to ensure your comfort and enjoyment.
